The purpose of your final thesis is to provide evidence that you can independently apply the basic features of scientific methodology. You should adopt a targeted approach using scientific methods to solving a specific task (e.g. demonstrating a technical problem of an experimental, theoretical or constructional nature). In addition, you will also enrich your experiences with self and time management.

As of the winter semester 2023/24, the date of the last performance assessment will be noted as the graduation date on the degree certificate or the certificate of the acquired academic degree. The actual determination date of this grade by the respective responsible examination board (PK) is no longer decisive. In addition, you will be exmatriculated (also retroactively) at the end of the semester in which the last examination was taken.

Here is a small example: You sumit your thesis on 15.02. and register back for the upcoming semester. The PK responsible for you determines the grade of the thesis on 20.06.. As graduation date the 15.02. (sumitting the thesis) will be noted on your documents and you will be exmatriculated retroactively to the 14.03.. This means that you have one semester less standing time in your studies and are therefore in many cases more competitive in selection procedures in industry or civil services. The semester fee can be refunded. Please consider and discuss these changes in advance with your supervisor and other possibly responsible offices such as the child benefit office, health insurance office, KfW business partner or BaföG provider. This is particularly important with regard to the possible payment of contributions in arrears for several months.

This information covers the commonest questions regarding final theses. However, if there is anything else that you are unsure about, please get in touch with Academic Registry.

Important issues about final theses

When can I start working on my final thesis?

Please consult the examination legalities for registering for the final thesis in the applicable Programme and Examination Regulations (“SPO”) . You cannot register your final thesis properly if you don’t fulfil the entry requirements specified in the SPO for your degree programme. If you have any doubts, please consult Academic Registry in confidence.

How do I register my final thesis?

Please make sure that you follow the basic procedure for registering your final thesis.

There is no fixed registration deadline or time period set by Kempten University of Applied Sciences. Provided that you fulfil the entry requirements, you can register your thesis at will. Please email the professor of your choice to check whether they would be willing to supervise your work. Make an appointment for a meeting, or go along during their consultation hours, to discuss the next steps, such drafting an outline or a summary of the topic.

If it the professor agrees to supervise the proposed topic, they will ask Academic Registry online to check that you meet the criteria for registering a final thesis (contained in the “SPO” for the respective degree programme),and, if so, discuss the process with you in detail. This includes fixing the title, start date and the name of the company supervisor, if applicable.

Academic Registry will enter the registration details and the last possible submission date into the system, which will also be sent to you in full by email . If there are any further amendments, such as entering a second examiner, the actual submission date, or an extension to the deadline, you will be informed in each case by email . For this reason, please always check your university email inbox.

The Examinations Board for your degree programme decides the topic for your final thesis, so you cannot simply change it yourself after it has been registered. If it becomes necessary to change the set topic (e.g. due to requirements within your workplace), please contact us immediately. Kempten University of Applied Sciences Does not sign any kinds of contract that you might potentially need with the company in order to produce your final thesis. You bear the responsibility for arranging this with the supervising company (“mutual agreement”).

The same procedure applies to registering the PRP (practical/research project) that forms part of the degree programmes in Business Administration, International Management and Tourism Management.

How do I find a topic and a supervisor?

Explore the options on offer that might be of interest to you, e.g. on relevant companies’ websites, posted on the Jobs Board or on professors’ notice boards and outside the laboratories, and get in touch directly in person. If you are studying on a dual programme, you work on your final thesis at your company as a matter of course.

Where can I get more information?

There are books on conducting scientific research and academic writing – which we also stock in the library! What’s more, the library staff offer one-on-one consultations on researching literature on specific topics for students who are writing (or about to start) their final thesis. Also, talk to fellow students who have already written their thesis. Special classes on this topic are even included in some of the degree programmes.

How long do you get to work on the thesis, and when do you start?

Work on the topic only commences after you have registered the thesis with the examiner. Your supervisor notes the start date will be noted on a form. The maximum time allowed is generally stipulated in the Programme and Examination Regulations (“SPO”) for your degree programme. If nothing is specified there, the processing time is determined according to the provisions of the General Examination Regulations (“APO”). You can access this text under General Examinations Lawduring office opening hours.

Is it possible to get the deadline extended?

If you will be prevented from submitting your final thesis by the deadline for reasons that you cannot be held accountable for (e.g. illness or childcare), it is possible to apply for an extension. You must do so in writing at least two weeks before the deadline for submission via Academic Registry, citing the reason(s) and appending supporting evidence, such as a medical certificate, addressed to the Examinations Board. Until you receive a response authorising an extension, the original deadline still applies. Missed deadlines for submitting work, e.g. if an application for an extension is refused, are your own liability and result in a grade of “5”. If there are any additional (individual) regulations for submitting the thesis for your degree programme, please check the details in your Programme and Examination Regulations (“SPO”).

Is it possible to attach a notice to the thesis prohibiting disclosure?

If the thesis concerns a sensitive topic for the company, others should not be able to read the thesis. Please be sure to discuss this point with your company in advance. The second or third copy should then not be publicly viewable (e.g. for research purposes by other students). The wording of a blocking note could (after consultation with your supervisor) be as follows:

Blocking notice

The following work contains confidential information and data of XY Company.

Publications or reproductions that go beyond the title of the work - even in part or in electronic form - are not permitted without the express written consent of XY Company.

The embargo period is valid until December 31, 20XY.

The thesis may only be used for examination purposes until the end of the blocking period.

The supervisor of a thesis is subject to a confidentiality obligation for reasons of service law. This is specifically explained in the document "Secrecy obligation" for the companies. If the company wishes, the supervisor can document his or her knowledge of this general confidentiality obligation to the company once again using the form "Confirmation of confidentiality obligation". The Kempten University of Applied Sciences will not sign any further special confidentiality agreements from companies for the supervision of theses.

What formalities need to be observed with regard to the layout?

Please discuss questions of formal design, such as page numbering, formatting, citation style, presentation of any appendices, numbering, etc., with your supervising professor. The individual faculties have adopted different guidelines for their students in this regard.

What is the declaration of independent work about?

This declaration is to be included in the thesis, after discussing it with your supervisor, and signed. In doing so, you declare that you have written the paper yourself and have indicated the sources. It could be worded (after discussing the matter with your supervisor) as follows:

“I hereby declare that I have written this thesis independently, have not submitted it anywhere else for examination purposes, have not used any aids other than those indicated, and have marked verbatim and indirect quotations as such.

Place, date
Signature”

Where can I hand in the work?

You can deposit your final thesis in the external letter box for Building V (download map here), situated on its northern wall (which is large enough for this purpose). Alternatively, you can send it by post. However, please note that it’s not the date of the postmark that counts; but rather, submissions must have arrived on site by midnight on the stated deadline.

Late arrival of the work, e.g. due to an excessively long (and unplanned) time in the post, constitutes a failure to meet the deadline (grade “5”). The same applies to submitting it late to a postal service provider. You are responsible for the timely arrival/submission of your thesis to Kempten University of Applied Sciences.

Please consult the relevant Programme and Examination Regulations (“SPO”) or your faculty for information about the options for submitting theses, such as number, print quality (you might want to ask your supervisor about their preferences), timing and possibilities for an extension.

You will be sent confirmation, in the same way as when you registered your thesis, via flow that your thesis has been submitted. There is no need for paper receipts anymore.

All the best!

How do I find out my grade?

First and second examiners have an equal input to marking your work. The jointly reached grade is then is then submitted to the Examinations Board for confirmation. Once Academic Registry has been informed of the final grade, it is entered into the database and will appear on your transcript of records in MeinCampus.

Do I have to re-enrol for the next semester during the editing/correction period?

As long as no grade for your thesis has appeared on the transcript of records, please re-enrol for the forthcoming semester. You can find further information in this section.

Best wishes for compiling your thesis! If you still have any questions at this point, please do not hesitate to contact us in confidence. We will be happy to help you resolve them.
